Archived Projects

The Archived Projects page provides users with a centralized location to view and manage projects that have been archived. As shown in the screenshot below, each archived project is listed with its Project Name, Archived Created date, Archived By user, and available Actions.

When a project is moved to the archive, it is scheduled for permanent deletion after 30 days—along with all associated data. This page enables users to review, restore, or permanently delete archived projects as needed.

Archiving Projects

When a project is archived, a confirmation dialog appears with a warning:

  • Warning Message: Users are notified that the archived project will be permanently deleted after 30 days, and all data will be lost.
  • Confirmation Options: Users can select Yes to proceed with archiving or No to cancel the operation.

Once archived, the project appears in the Archived Projects list. In the screenshot example, there are five archived projects with various archive dates and archiving users:

Project NameArchived CreatedArchived ByActions

  • Project Name: The title of the archived project.
  • Archived Created: The date the project was archived (when the 30-day countdown begins).
  • Archived By: The user who performed the archiving action.
  • Actions: Icons for restoring or permanently deleting the project.

Actions on Archived Projects

Within the Archived Projects list, each project has two key actions:

  1. Restore

    • Moves the project back to the active list, preserving all data and stopping the 30-day deletion countdown.
    • Notifies team members that the project is reactivated (if notifications are configured).
  2. Permanently Delete

    • Immediately deletes the project and all associated data, bypassing the 30-day schedule.
    • This action is irreversible; once deleted, the project cannot be recovered.

Viewing and Searching Archived Projects

A search bar at the top right of the page allows users to quickly locate archived projects by name. This is especially useful if multiple projects have been archived over time. The page may also include pagination controls for navigating through a larger list of archived projects.

Benefits of Archiving

info
  • Data Management: Archiving helps declutter the active project list by moving completed or inactive projects out of immediate view.
  • Data Security: The 30-day grace period offers a safeguard against accidental deletion, allowing users to restore projects if needed.
  • Streamlined Access: Restoring archived projects is straightforward, ensuring historical data is retained and easily reactivated.

Notes

  • Deletion Policy: After 30 days in the archive, a project and all its data are permanently removed.
  • Permanent Deletion: This action is immediate and cannot be undone.
  • Regular Monitoring: Administrators and project owners should periodically review archived projects to ensure no important data is lost.

By using the Archived Projects page effectively, you can keep your active project list organized and maintain control over project data, restoring or permanently deleting archived items as needed.
